Job Description:
Under the general supervision of the Graduate Medical Education Office, the Secretary II will provide all aspects of secretarial support. Maintain calendars, coordinate activities, provide transcription, meeting minutes, arrangements for meeting and conferences, additional office duties as required. The Secretary II will be responsible for assisting the GME Director and Associate Dean for GME with the day-to-day operations of the GME Office.
Minimum Qualifications:
Education/experience/licensing:
· High School diploma/equivalent required. Associate degree or higher, or equivalent work experience preferred.
· One-year related office support work experience required.
· Must be able to type 30 WPM and a good working knowledge of rules of grammar, spelling, and punctuation.
· Experience with computers and programs, such as Word, Excel, PowerPoint, Outlook, Photoshop, Adobe, etc.
Communication and other skills:
· Knowledge of or familiarity with New Innovations.
· Knowledge of or familiarity with Banner.
· General familiarity with working with standard office equipment, i.e., scanning machines, transcription, faxes, photocopy machines, etc.
· Working knowledge of voice mail systems and ability to learn new technology as relevant
· Excellent verbal and written communication skills
· Able to compose correspondence (memos, letters, minutes, reports) and to perform transcription from written or dictated materials.
· Ability to perform efficiently and in a professional manner under demanding situations.
· Organizational expertise, attention to detail and deadlines essential.
· Ability to plan and organize work, both under supervision and using independent judgment under stressful situations.
· Exhibits accuracy and ability to pay attention to details.
· Must be able to maintain confidentiality.
· Ability to follow work directions.
Preferred Qualifications:
· Preferred experience in medical academic position and knowledge of residency programs, Graduate Medical Education issues, and familiarity of the Accreditation Council for Graduate Medical Education requirements.
