Job Description:
This role assists with planning and executing logistics for the Institute’s public as well as academic events. This position works collaboratively with faculty, staff and the administration across the Institute to execute meeting logistics, including event budgeting, conference space allocations, catering, accommodations, travel, technology and audiovisual needs, support, and processing invoices.
This position acts as a liaison between constituent group members and members of the Institute, gathers content and disseminates meeting materials to constituent group members, prepares events spaces, assists with speaker and attendee space access, provides attendee services, day of event running, provides troubleshooting, and supports event wrap up activities and clean-up. This position interacts with student workers, academic administrators, faculty, prospective donors, as well as venue and restaurant staff.
The successful candidate must be a proactive, cross-functional team player, creative thinker and independent problem-solver with strong organization and project management skills but also a warm sense of hospitality.
Minimum Qualifications:
Education/experience/licensing:
• Bachelors’ degree
• Minimum of one (1) year related work experience or combination of education and event planning and execution.
• Exceptional attention to detail
• Ability to work flexible schedule and sometimes long hours including nights and/or weekends.
• Outstanding presentation, verbal, and written communication skills
• Ability to work in fast-paced environment, multitask and prioritize projects and flexibility to adapt to changing goals and priorities
• Ability to think and perform creatively
• Self-motivated and well organized with attention to detail, consistency, and accuracy
• Capable of executing tasks and resolving issues independently with minimal supervision
• Aptitude for serving as liaison between administrators in higher education and staff in the hospitality industry.
• Must have the ability to as well as meet the requirements to complete and maintain mandatory training per the University mandatory training policy pursuant to the deadlines set forth therein
Preferred Qualifications:
• Event coordination, logistical execution, and community outreach
• Experience working in higher education environment
• Proficiency with Microsoft 365 software
• Portfolio or work samples may be requested
