Job Description:

The University of Toledo College of Law Admissions Office is hiring a Program Coordinator. The Program Coordinator has primary responsibility for coordinating all operational aspects of the application process to the College of Law (COL) program from initial application to matriculation. The coordinator plans and executes events, performs business and support functions for the office, and coordinates information dissemination to prospective applicants, applicants, and internal and external stakeholders. This valued team member will perform at a high level of professionalism in accordance with all accreditation standards, University and College policies, centralized application service requirements, and other mandates to help ensure the integrity of the admissions process in the College of Law (COL) at The University of Toledo (UToledo).

Duties of the Program Coordinator include:
• Coordinating all operational aspects of the application process to the College of Law, including from special pathways, scholarships, and programs, supporting students through the application process, checking in applications, fielding applicant questions, assisting Assistant/Associate Director, and providing information on available financial aid programs, importing inquiry names and contact information from various vendors into the CRM and analyzing and reconciling data as needed by the college of law, participating in strategy discussion and executing enrollment activities utilizing cost effective search methodologies and tools. This position serves as the school’s ambassador at national and regional forums, law fairs, conventions, conferences, public appearances, and meetings each year and works with other administrative departments, faculty and staff as required to perform essential functions.
• Utilizing Customer Relation Management (CRM) technology to track strategy effectiveness, designing and maintaining reports to meet the data needs of enrollment and admission processing staff as well as external consultants as needed, producing data reports for various purposes including scholarship awarding
• Assisting and supporting enrollment of new law students through travel, event management and student communication with daily contact with prospective students, independently researching and responding to inquiries, communicating admissions policies, requirements, and general information to a diverse group of people, managing office workflow and perform business and support functions for the office, providing administrative support to the office leadership and monitoring and assisting the office with financial aid efforts for the COL.

The Program Coordinator, College of Law Admissions, serves as a key point of contact with the COL for prospective students.

This role reports directly to the Assistant/Associate Director of COL Admissions and may take direction from the Assistant Dean of Law Admissions, Dean of the College of Law, Assistant Dean of Academic Affairs, Assistant Dean of Law Admission and Assistant Dean of Student Affairs as well as other Deans.
There are currently no positions that report directly to this position.

Minimum Qualifications:

Required Education/Experience/Licensing:
• Bachelor’s degree in education, management, or related field is required.
• Minimum three (3) years of administrative support experience, preferably within the Utoledo System or other academic systems is required.
• Experience planning events (face-to-face and virtual) for groups of various sizes or one-on-one is required.

Communication and other skills:
• Must have excellent written and oral communication skills.
• Must be able to work independently and as a member of a team.
• Ability to maintain confidentiality and trust in handling applicant records, confidential memoranda, and personal interactions.
• Knowledge of federal and state financial aid regulations
• Experience with financial aid, preferably in a higher education setting.
• Superior interpersonal, team-building, and organizational skills
• Self-directed and detail-oriented, demonstrating an exceptional ability execute tasks with minimal supervision at a high level of precision.
• Proven ability to negotiate with individuals at all levels in the organization.
• Highly organized, demonstrating an exceptional ability to execute multiple, complex, high-priority tasks to meet strict deadlines.
• Professional business manner.
• Ability to work beyond standard business hours to attend events and functions as needed.
• Computer proficiency (including Microsoft Office) and ability to learn new programs.
• Ability to interact with colleagues, supervisors, and customers face to face and remotely.
• Highly proficient in advanced features of Microsoft Office products (Word, PowerPoint, Outlook, Excel, etc.), internet use, and web conferencing applications (e.g., WebEx, Zoom).
• High proficiency with student information systems (e.g., Banner), course management systems (e.g., Blackboard) and document management systems (e.g., ApplicationXtender).
