Job Description:

The Institute is a multidisciplinary university center that conducts teaching, research, and public programming concerning the core texts and great debates of Western civilization; the principles, ideals, and institutions of the American and Ohio political order; and the foundations of responsible leadership and informed citizenship. The Institute is an independent academic unit within the University of Toledo and is initially physically located at the college of law. The Program Manager will help the Institute achieve its mission, which is defined by Ohio Revised Code Sec. 3364.07, by assisting the Director and Executive Director with the Institute’s operations, event coordination, logistics, budget process, and strategic planning.

This position will:
-Oversee and handle the Institute’s day-to-day operations including supervising support staff, supporting the Director’s and Executive Director’s activities along with faculty teaching and research, and student services, all in a manner that will advance the Institute’s mission as defined by ORC Sec. 3364.07 (B), (C).
-Manage programming logistics including scheduling, which includes both course deliverables and event coordination for public events along with marketing and advertising. May include preparing materials for periodic meetings and annual reports for constituencies.
-Assist the Executive Director with compiling the Institute’s budget while overseeing the Institute’s finances & expenses, processing honoraria, and day-to-day business in accordance with applicable University and grant funding rules and regulations. These activities will include but not be limited to writing & submitting grant reports/proposals, purchase and requisition, expense reports as well as funds flow and management.
-Oversee human resources logistics in accordance with applicable University and grant funding rules and processes in support of ORC Sec. 3364.07 (B), (C).
-Manage and oversee website and marketing development and operations.
-Manage efforts which support alumni and donor engagement.
-Support Institute faculty through office management including human resource tasks associated with the office.
-Maintain the Institute’s records including acknowledging gifts.

This position reports directly to the Institute’s Executive Director. This role will also work with all levels of leaders at the university. This role may provide direction to student workers but does not have permanent direct reports.

The Program Manager position is critical for effective and efficient operation of the Institute, necessary for the Institute to logistically support teaching, research, and events, and directly responsible for managing interactions with faculty, students, donors, and guests. The person in this role facilitates and monitors budget and budget transactions to ensure compliance with budget, and handles administrative details, correspondence, and a large amount of faculty and student paperwork and monitoring throughout related to compliance with federal and state and University standards.

Minimum Qualifications:

• Bachelor’s degree required
• Ability to communicate with consistency, discretion, and clarity with a variety of parties in representing the Institute and the University required.
• Demonstrated excellence in writing, editing, and oral communication required.
• Strict attention to detail required.
• The capacity to exercise diplomacy and to deal effectively with a wide variety of actors in different circumstances required.
• Able to direct operations and projects with responsibility and excellent judgment required.

Preferred Qualifications:

• Masters degree preferred.
• At least five (5) years of experience in project management, academic administration, professional program support, or a related field.
• Experience with developing a young academic or professional program or organization.
• Experience conducting outreach with external stakeholders.
• Experience with supervising staff.
• Prepared to work collaboratively and in a coordinated way with the Institute’s Executive Director.
• Excellent management and organizational skills—task oriented and deadline conscious.
• Willingness to work a flexible schedule.
• Ability to complete moderately complex administrative paperwork.
• Efficiency in prioritizing projects despite frequent interruptions.
• Flexibility to adapt to changing goals and priorities.
• Proficient skills with technology, including Microsoft Office 365 suite and Adobe. Advanced knowledge of Excel.
• Ability to track data in Excel spreadsheets and use advance functions to compile data accurately.
• Experience with writing and submitting grant proposals and reports preferred.
